Introduction
This article outlines the responsibilities and support procedures related to Information Technology Services (ITS) during exam/instructional periods to ensure a smooth and efficient process for students and faculty.
Procedure
Pre-Class/Exam Preparation by Students:
- Students must log in to their student accounts before their classes/exams to prevent any issues related to passwords or multi-factor authentication (MFA).
- Personal devices should be fully charged, updated, and tested for connectivity to the college's Wi-Fi network before the class/exam begins.
- Students should perform all necessary checks on their devices well in advance of classes/exams to avoid last-minute complications.
- Faculty are encouraged to remind students of these guidelines during the classes leading up to the exams.
Pre-Class/Exam Preparation by Faculty:
- Faculty should ensure their class/exam, and the delivery method are tested before the instructional/exam period.
- Faculty should inspect their assigned classroom/lab before the class/exam period and bring any concerns with technology/equipment to the attention of ITS immediately.
ITS Support Availability:
- ITS staff will not be present in classrooms unless there is an issue with the technology/equipment. However, they will be available for assistance at the designated location, CC-182.
- For troubleshooting issues with personal devices, students must bring their device to CC-182.
Support for Personal Devices:
- ITS support will be provided on a first-come, first-served basis.
- Technical assistance is limited to connectivity and access issues; ITS cannot assist with issues related to exam content, device incompatibility, or personal device hardware issues.
- Students are responsible for ensuring their devices meet the recommended specifications for their course, and any required exam software.
Support for Keyano College Technology/Equipment:
- ITS staff will provide in-classroom support upon request if there is a technical issue with any Keyano College technology/equipment.
Faculty Support During Classes/Exams:
- Faculty can directly phone the ITS helpdesk for immediate assistance during classes or exam times, bypassing the standard ticket submission process.
- This exception is made due to the time-sensitive nature of providing instruction and exams and is intended to address urgent technical issues that may arise.
- ITS is here to help with any technical issues, but for learning how to use classroom technology, the Centre for Teaching and Learning (CTL) team is your best resource. If you're feeling unsure or want a quick refresher, reach out to Linda Raymond.
